Network Drives

Network Folder icon

Lawrence Tech provides every faculty and staff member with a personal share drive for storing files and data. These drives can be accessed from on and off campus. Storage capacity is capped at 300 MB. The drives are located in the Data Center and are backed up routinely.

In addition to personal shares, many academic and administrative departments have departmental share drives for storing data used by many members of their departments. These department share drives are also accessible from on and off campus.

The Best Practices for File Naming Conventions

When saving files to your hard drive or the university provide share drives, IT Services would like to point out some best practices to help avoid problems.

Good Practice Rationale
Use letters and numbers when naming files. Avoid underscores. Underscores can create problems when used with hyperlinks.
Do NOT include spaces. Spaces can cause problems when used in hyperlinks and some systems do not accept them.
Do NOT use these special characters:                 & , . ( ) % # $ ¢ / \ - { } [ ] < > : ; @ Some special characters are not accepted in some systems.
When numbering similar types of files or sequences try to anticipate maximum numbers. Numbers can be used for versions or sequencing.  It is fairly easy to conceive going over 9, but are you going to go over 99 or 999?

Create names that are logical, meaningful to all users, simple to read and relevant, yet as short as possible.  Path names cannot exceed 255 characters.

If a file is obscurely named, it can be difficult to find in the future.
Files should not be located in directories more than 6 levels deep. This helps to keep with the 255 character path limit.
